Making email work for you

Although you may already have an email address that you use and would like to continue using, it is worth considering how professional it would look on your website. An email address that matches your domain will look a lot more professional than a free email address such as Gmail, Yahoo, Hotmail etc.

If you host your website with us then we can provide you with a new email account or accounts that have your domain as the suffix i.e. if your website address is www.mysite.com then you can have an email address to match such as info@mysite.com.

Having a new email account to check may seem like too much bother but with the right email management you can configure your email to download to Outlook or whichever email client you use. If you have an email address that we have set up for you and you are not sure how to download the mail then get in touch and we can send you instructions.

If you really don’t want a new email account then perhaps an alias email is the answer. An alias email address is not a real email address as such- it is a substitute for displaying your real email. So, for example you could have an alias info@mysite.com and display that on your website but if people email you using that address, it forwards to your existing email account. If you host your site with us and would like an alias email address set up let us know and we can set it up and point it to whichever email address you specify. The benefit of having an alias account is that you can just continue using your existing email address as you were before. The only thing to be aware of is that because the alias isn’t a “real” email account, you can’t reply to people from it- instead you would reply to them from your existing email address.

Some important points to help keep your email working efficiently

When you’ve set up any new email account with us, if you use Outlook or similar software you will be given the option to keep a copy on the server. It can be a good idea to keep a copy of mails on the server as it will serve as a backup in case you have any problems with your email client or with your PC.

It is also useful to have your emails accessible on the server in case you should need to access them from another PC. Using the webmail facility you can login and check your emails from any PC anywhere in the world. This is particularly useful if you are away and only have access to email via a cybercafé.

If you are keeping copies of all your emails on the server (whether you use the webmail facility or not) it is important to not only delete any unwanted messages but also to make sure you purge the trash. Although you may have deleted hundreds of emails, unless you purge them from the trash they will still be taking up space on the server and depending on how many emails you receive and the size of the files you may eventually find that your email account is running out of its allocated space.

As well as deleting and purging the unwanted emails it is also worth checking to see if there are any emails with large files attached. If you don’t absolutely need a backup of them, it is best to remove any emails with particularly large files from the webmail once you have saved the files to your PC as these will also take up a lot of space.

The amount of space we allocate for emails in our hosting packages is more than enough for most clients, but if you find that you do need more space and you have taken the above measures to ensure that the space is being maximised, we can change your hosting package to increase the amount of space for your email account(s).
